Plan Terms and Conditions
Air Conditioning Associates, Inc. (“the Company”) will provide scheduled preventative maintenance annually, semi-annually, or quarterly, depending on the plan selected by the Customer. The Company will make reasonable efforts to schedule heating and cooling maintenance visits with the Customer. However, it is ultimately the Customer’s responsibility to ensure that preventative maintenance visits are scheduled.
Maintenance services under this Plan will be performed during normal business hours (Monday through Friday, 7:00 a.m. to 3:00 p.m.) and will be scheduled at the Company’s discretion, typically before or after peak heating and cooling seasons.
Preventative maintenance will only be performed on systems that are operational at the time of service. Repairs to non-functioning systems are not included in this Plan and will be subject to applicable service fees.
Services Provided
The Customer has selected the Equipment Maintenance Plan, which includes routine maintenance on the HVAC equipment listed in this contract.
Spring
· Compressors are checked.
· The economizer is operated and checked.
· Voltages for contactors/relays to compressors are checked.
· Refrigerant charge is checked.
· Inspection of coils and lines for leaks or issues.
· Filters changed; belts changed.
· Makeup air filters are cleaned.
· Amp draws on all motors are taken.
· Motors are adjusted to ensure no uneven wear on belts.
· Bearings are greased, makeup air filters are cleaned or changed.
· Burner assemblies for makeup airs are inspected and cleaned properly.
· Exhaust fans are thoroughly inspected and adjusted to achieve an adequate airflow.
· Test safeties on rooftop units, check crankcase heaters on rooftop units.
· Check any capacitors (if the capacitor is a small enough capacitor, we will replace it with no customer cost to ensure no motors burn out).
· Exhaust and makeup airs are inspected to ensure adequate airflow for hoods.
· PSP filters are checked to ensure proper airflow through the hood.
Summer
· Filters are changed.
· This maintenance is more of a visual inspection of everything on the system; if anything appears slightly off, we further diagnose if there is an issue present.
· Coils are inspected.
· Coils are brushed if needed.
· The technician will visually inspect lines to ensure no leaks.
· Safeties are checked.
· Makeup air filters are cleaned.
· Exhaust and makeup airs are inspected to ensure adequate airflow for hoods.
· PSP filters are inspected.
Fall
· Filters are changed.
· Burners on rooftop units are cleaned.
· Flame sensors and ignitors on rooftops are cleaned.
· Heat exchangers are inspected.
· Heat safeties are inspected for operation.
· Inducer draft assemblies are inspected to ensure no critters have clogged them.
· The burner area is cleaned up.
· Heat is started, and temp rise is checked.
· The economizer is operated and checked.
· Any heat pump is re-inspected like springtime.
o Compressors are inspected.
o Checks for any leaks.
o Refrigerant charge is checked.
o Contactors and relays for compressors or condenser fan is checked.
o Condenser fan speed is checked to ensure it is modulation properly.
o Coils are brushed and inspected.
o All motor amp draws are checked.
· All heat relays and contactors are inspected, and voltages checked.
· Amp draws on all motors are taken.
· Motors are adjusted to ensure no uneven wear on belts.
· Bearings are greased, makeup air filters are cleaned or changed.
· Burner assemblies for makeup airs are inspected and cleaned properly.
· Makeup air filters are cleaned.
· Exhaust fans are thoroughly inspected and adjusted to achieve an adequate airflow.
· PSP filters are checked to ensure proper airflow through the hood.
Winter
· Filters are changed.
· This maintenance is more of a visual inspection of everything on the system; if anything appears slightly off, we further diagnose if there is an issue present.
· Heat is started up a couple of times to ensure no ignition lockouts.
· Heat is then left on for long runtime to ensure no overheating.
· Temp rise is recorded.
· Makeup air filters are cleaned.
· PSP filters are inspected.
· Exhaust and makeup airs are inspected to ensure adequate airflow.
· If any heat pumps are present.
o Coils are inspected.
o Coils are brushed if needed.
o The technician will visually inspect lines to ensure no leaks.
o Safeties are checked.
Equipment Covered
Covered equipment will be listed within this contract.
Fees
The Customer agrees to pay the costs outlined in this agreement for the covered HVAC equipment. Payment options include annual, semi-annual, or monthly billing.
The Company reserves the right to adjust Plan fees annually.
A 10% discount will be applied if the contract is paid in full at the time the agreement is signed.
Equipment and Services Not Covered
This preventative maintenance Plan does not include the repair of non-functioning HVAC equipment or equipment requiring additional service. It also does not include the addition of refrigerant (Freon) to the air conditioning system or any services not specifically listed in the Services Provided section above.
Any additional products or services will be billed separately.
This Plan does not cover any pre-existing conditions affecting the equipment listed in this agreement. If the Customer requires additional service due to system breakdowns or other issues, the Customer must contact Air Conditioning Associates to schedule an appointment.
All service work will be billed at the applicable standard service rate. After-hours service will be billed at the Company’s after-hours rates.
Customers enrolled in the Equipment Maintenance Plan will receive a discounted service rate on service calls placed between scheduled maintenance visits.
Cancellation of Plan Participation
The Customer may terminate this contract at any time by providing written notice to the Company.
Licensed and Insured
Air Conditioning Associates, Inc. is a licensed and insured contractor in the State of Minnesota.
The Company is not responsible for any loss or damage resulting from service performed by another company or individual, power loss, water damage, acts of God, or any circumstances beyond the control of Air Conditioning Associates, Inc.
